• The President shall

    • Preside at all meetings of the association and the General Body;
    • Appoint, if required an External auditor or Charted Accountant or consultant/s for any specific purpose.
    • Constitute when required for full filling the different specific object/s various Committee/s or sub-committee/s or Wing/s or cell/s from time to time from among the Members of the Governing council, Association and/or others like professionals, students, etc as required or when needed in consultation with the council members.
    • Fulfill such other duties as may be assigned by the association or the General Body.
    • Maintain transparency, discipline, decorum and unity among all members.

  • The Vice-President shall

    • Perform the presiding duties of the president in the absence of or at the request of the President;
    • Fill the unexpired term if a vacancy occurs in the office of president or until new President is chosen by the Governing Council.
    • Fulfill such other duties as may be assigned by the association, the general body, or the President.

  • The General Secretary shall

    • Conduct and record the minutes of all meetings of the governing council, association and the general body;
    • Be custodian of all documents, including association byelaws, Membership register/s, special rules, and regulations and standing rules;
    • Present the membership application/s for deliberation and decision/s.
    • Present the bill/s / proposal/s for approval and endorsement and/or sanction/s from the governing council.
    • Conduct correspondence as directed by the association, the Governing council, or the President;
    • Keep and manage the Membership Register/s (Annual, Life, Honorary types, etc) of the Association.
    • Notify (new) address/ addresses of KSAME Head quarters, district offices and taluk Offices as needed;
    • Send a call letter (E-mail and Mobile Phone SMS or any other modern means of communication or through post/courier) of the meeting to the Governing Council at least 15 (Fifteen days) in advance in normal circumstances and 07 (Seven days) in the Special or exceptional circumstances.
    • Subject to the direction of the governing body may delegate any of her/his duty or duties and authority to the joint Secretary or joint secretaries or any of the member/s of the Governing council.
    • In case of emergency/ special circumstances has the authority to take necessary action in consultation with the president and to report to the governing council for approval and sanction.
    • Fulfill such other duties as may be assigned by the association, the governing council, or the President.

  • The Joint Secretary/ Secretaries shall

    • Have to perform the work/duty/duties so assigned by the General Secretary.
    • in the absence of or vacancy of General Secretary or upon the request the Joint Secretary number.1 (the First in the list) shall act as General Secretary and perform the duties of the General Secretary.

  • The Treasurer shall

    • Under the general control and supervision of the president and General Secretary, the treasurer shall be in charge of all accounts, receipts, payments, funds disbursements and also preparation of statements of accounts (Receipt Book/s, Day Book, Cash Book, Stock Register, etc), and other/s pertaining to the Association and its subsidiaries.
    • Remit all cash receipts to the association account/s in the next working day of the bank.
    • Any donations, contributions, subscriptions, etc received (preferably (in order) by Cheque/s or draft/s or Internet / Mobile banking or cash) by the Association shall be remitted to the bank promptly by the treasurer and material/s to be taken into stock.
    • Cash in hand for the contingency or contingencies shall not exceed ` 5000/- (Rupees Five thousand only) or as decided by the Governing body from time to time.
    • Reject any item of wasteful nature. All receipts and payment documents shall bear the signature of the treasurer
    • Present financial statement/s at each association meeting and as requested by the Governing Council duly signed by President, General Secretary and Treasurer.
    • Prepare the financial records from 1st April to 31st March for audit by 30th June; with financial year beginning from first of April and ending on thirty first of March.
    • The treasurer shall file the income tax returns as per the Income Tax Act/s in force and all other returns (if eligible) promptly and arrange to have the annual accounts verified and audited by an association appointed
      external Auditor / appointed Chartered Accountant.
    • Notify when requested of the dues for the association. And
    • Fulfill such other duties as may be assigned by the association, the Governing Council or the President.

  • The Joint Treasurer shall

    • Help the Treasurer in carrying out the responsibilities of the Treasurer as requested.
    • In the absence of treasurer act as the treasurer or in case of vacancy assume the charge for the remaining term of the office or until the office of the Treasurer filled by the council.

  • The Auditor (Internal) shall

    • Report directly to the Governing council.
    • Do audit independently and objectively.
    • Work as a guide to the association and to show the path through periodic reports (quarterly or six months once) and accordingly the Governing council to review the auditor’s recommendation and take necessary steps /actions in the areas of improvement suggested by the auditor (internal).
      Note: The Governing council shall show commitment for the internal Audit and shall assist and fully co-operate with the Auditor in achieving the Objective.

  • The Information and Technology (IT) Secretary shall

    • Conduct research and do Project and/or Task Management.
    • Perform variety of Secretarial and Administrative task for the Governing Body.
    • Maintain a regular filing system, and processes incoming correspondence when/as required.
    • Request supplies, services and materials as required.
    • Process and directs calls to appropriate staff regarding computer repairs, network issues and phone equipment repairs.
    • Maintain a schedule of appointments and makes arrangements for conferences and interviews
    • Take and transcribe dictation of various types, including correspondence, reports, notices, minutes, and recommendations.
    • Assist in Preparing emails / Short Message Service or Messenger texts and mailing.
    • Take steps and assist in the management of ICT (Information and Communications Technology) initiatives of the Association.
    • Supervise and assist in managing the help desk/s.
    • Maintain high confidentiality in internal and external matters.
    • Assist in other work as necessitated by the Governing council.
